Resolutionz is an invitation-only, private-beta software service for businesses. This Privacy Policy explains how Resolutionz collects, uses, and shares personal information through our website at https://resolutionz.ai/, our dashboard at https://app.resolutionz.ai/, and the Resolutionz chat widget embedded on our or our customers’ websites (collectively, the Service).
Resolutionz is currently operated under the public-facing name “Resolutionz.” If our legal identity changes, including after incorporation, we will update this policy. Questions and privacy requests may be sent to contact@resolutionz.ai.
Our Role
Resolutionz acts as a controller when we process personal information for our own purposes, such as operating our website, administering accounts, communicating with customers, measuring consented website usage, securing the Service, and complying with law.
When a customer uses the Resolutionz widget, that customer generally decides why the widget is used, what its forms request, and how visitor conversations are handled. The customer generally acts as controller for that information, while Resolutionz processes it on the customer’s instructions. Resolutionz remains responsible for limited processing for its own security, legal-compliance, and service-administration purposes.
Customers are responsible for giving visitors an appropriate privacy notice about their use of the widget. If you use the widget on a customer’s website, that website’s privacy policy also applies.
Resolutionz does not offer a standard Data Processing Agreement during the private beta. Customers must not deploy the Service for processing where applicable law requires a controller-processor agreement unless Resolutionz and the customer first enter into an appropriate separate written agreement.
Information We Collect
The information we collect depends on how you interact with the Service.
Website and account information
We may collect:
- your name, email address, and the contents of enquiries or beta requests;
- account, authentication, workspace-membership, role, and activity information;
- customer settings, widget configuration, interface preferences, and support communications;
- knowledge-base documents and other content customers upload to configure the Service; and
- IP address and information about how you use our website, including Google Analytics data collected after you consent to analytics technologies.
Customers should not upload documents containing personal or sensitive information to the beta knowledge base. Additional restrictions may appear in our Terms of Use.
Widget and conversation information
When a visitor uses the widget, we may collect:
- conversation messages, timestamps, session identifiers, and conversation status;
- information submitted through customer-configured forms, which may include contact or other personal information needed for the requested action;
- device and technical information, including browser, operating system, device type, screen information, and browser language;
- page and navigation information, including the referring, current, and landing-page URLs; and
- the IP address associated with the network request.
Please do not put sensitive personal information in ordinary free-text chat. The customer determines each form’s purpose and requested fields.
Structured Form Data: When visitors submit personal information, such as contact details, through the widget’s supported structured forms, this data is stored securely in Resolutionz’s databases so the customer can access and review it. To protect visitor privacy, Resolutionz strictly segregates this structured form data so that it is not transmitted to or processed by our third-party AI providers.
Approximate location
The visitor’s IP address is used it to estimate a city and country. This is approximate, IP-based location information—not GPS location or a precise address—and may be inaccurate.
We store the estimated city and country with visitor or session information and use it for geographic and conversation analytics. Raw IP addresses also appear in infrastructure access logs. Authorized members of the relevant customer workspace may see conversations and related information, including approximate location as well as device or browser information.
How We Use Information
We use personal information to:
- provide, maintain, and secure the Service;
- administer accounts, workspaces, settings, and conversation continuity;
- process conversations, generate or assist with responses, and perform customer-configured actions;
- make conversations and relevant context available to authorized customer workspace users;
- communicate with and support customers and users;
- troubleshoot errors and understand Service performance and usage;
- provide workspace, conversation, and geographic analytics;
- measure website usage and calls-to-action after analytics consent;
- prevent abuse, fraud, and security threats;
- comply with law and protect legal rights; and
- improve the Service using aggregated or deidentified information that does not reasonably identify an individual.
We do not use customer content to train Resolutionz models. We do not sell personal information or use it for cross-context behavioural advertising.
AI Processing
We use third-party AI service providers, currently including Google through its Gemini services, to generate or assist with chat responses. Depending on the interaction, the AI provider may process conversation content and relevant contextual information, such as approximate location, device or browser information, language, and referral information.
Structured secure-form values are designed not to be included in information sent to the AI provider. Our providers may change as the Service develops, and we will update this policy when a change materially affects how personal information is processed.
Legal Bases for Processing
Where EU or UK data-protection law applies, we rely on:
- contract or steps before a contract to administer beta access and provide requested Service features;
- legitimate interests to operate, secure, support, and improve the reliability of the Service, where those interests are not overridden by individual rights;
- consent for Google Analytics, related website measurement, and optional marketing where consent is required; and
- legal obligations where processing is required by law.
For customer-controlled widget conversations and forms, the customer determines the applicable legal basis.
Cookies and Browser Storage
We use cookies, local storage, session storage, and similar technologies for the following purposes:
- Website: remembering privacy choices and, with consent, measuring website and call-to-action usage through Google Analytics.
- Dashboard: maintaining Supabase authentication sessions and remembering the selected workspace, filters, and interface preferences.
- Widget: maintaining an anonymous chat session, remembering chat state, continuing conversations, and remembering the landing page during a browsing session.
The cookie banner and consent controls on resolutionz.ai apply only to cookies and similar technologies on the marketing Website. They do not control the necessary or functional storage used separately by the Dashboard or Widget when you use those parts of the Service. Dashboard and Widget storage is used to provide requested product features, not for advertising. Customers should also disclose Widget storage on websites where they deploy it. You may use browser controls to delete or block stored data, although blocking necessary storage may affect functionality.
How We Share Information
We share personal information only as reasonably necessary with:
- customers and their authorized workspace users, to operate their widget, respond to visitors, perform requested actions, and view analytics;
- Amazon Web Services (AWS), for hosting, logging, content delivery, and infrastructure security;
- Supabase, for database and authentication services;
- third-party AI providers, currently Google through Gemini, for AI response processing;
- Google Analytics, for consent-controlled website measurement;
- MaxMind, for IP-based approximate location;
- authorized Resolutionz personnel, contractors, and professional advisers who need access to operate, secure, support, or advise the Service;
- courts, regulators, law-enforcement bodies, or other parties where required by law or necessary to protect rights, safety, and security; and
- a successor or transaction participant in connection with a merger, financing, reorganization, or sale, subject to appropriate legal and confidentiality requirements.
International Processing
Resolutionz and its providers process information in more than one country. Our core AWS and Supabase hosting is located in Germany. Google Gemini and MaxMind process information in the United States. AWS content-delivery and security services may also process limited information through global infrastructure.
Privacy laws in these locations may differ from those where you live. Where applicable law requires safeguards for an international transfer, we will use a legally recognized transfer mechanism or other required safeguard. Contact us for more information relevant to your information.
Retention
We keep personal information only for as long as reasonably necessary for the purposes described in this policy:
- production infrastructure access logs containing IP addresses are retained for 90 days;
- account, workspace, chat, visitor, and associated analytics information is generally retained while the relevant workspace remains active and until it is deleted following verified closure or a valid deletion request;
- support, security, and legal records may be retained as needed to resolve the matter, protect the Service, comply with law, or handle legal claims; and
- aggregated or deidentified information may be retained longer where it does not reasonably identify an individual.
Deletion from active systems may not immediately remove information from backups. Backup copies are removed or overwritten through our operational backup cycle unless longer retention is required by law or for security.
Security
We use reasonable technical and organizational measures designed to protect personal information, including access restrictions, authentication controls, and infrastructure security measures. No electronic transmission or storage system is completely secure. Dashboard users are responsible for protecting their credentials and notifying us of suspected unauthorized access.
Your Privacy Rights and Choices
Depending on where you live and the circumstances, you may have rights to access, correct, delete, restrict, object to the use of, or receive a portable copy of your personal information. You may also withdraw consent and complain to an applicable data-protection authority. These rights may be subject to legal exceptions, and we may need to verify your identity.
If your request concerns a widget on a customer’s website, please contact that customer or website operator first because it generally controls the information. Resolutionz will assist the customer as required by law. You may also contact us at contact@resolutionz.ai.
You can withdraw website analytics consent through our consent controls and unsubscribe from optional marketing emails using the link in the message. We may still send necessary account, security, support, or service communications.
Additional information for U.S. residents
Where applicable state law grants you privacy rights, you may request access, correction, deletion, or a portable copy of certain information and may appeal a decision about your request. We will not discriminate against you for exercising an applicable right. Resolutionz does not sell personal information, share it for cross-context behavioural advertising, or offer financial incentives in exchange for it. Requests and appeals may be sent to contact@resolutionz.ai.
Children
The Service is not directed to children, and Resolutionz does not knowingly seek to collect children’s personal information. If you believe that a child has provided personal information through the Service, please contact us so we can review the circumstances and take appropriate action.
Customers must not deploy the widget for child-directed processing without ensuring that appropriate notices, permissions, contractual arrangements, and safeguards are in place.
Changes to This Policy
We may update this policy as the beta, our providers, our legal identity, or applicable requirements change. We will post the revised policy at the same location and update the “Last updated” date. If a change materially affects how we process personal information, we will provide additional notice where reasonably possible or required by law.
